How QuickTenders reads your company documents

What QuickTenders takes from each document, what it deliberately does not take, and how a fact read from a document is treated differently from one you typed.

When you upload a document, QuickTenders reads it and records the facts it states — each one tied to the document it came from. This page explains what is read, what is not, and how those facts are used.

What is read from which document

What is never read from a document

  • Directors' identity numbers. These are entered by you only, and printed only on the form that asks for them.
  • Directors themselves. You declare your directors; the CIPC certificate is used to check the declaration, never to write it.
  • Your price. Nothing in your documents becomes a pricing decision.
  • A referee's own attributes. A reference letter from an accounting firm describes that firm; its sector, size and accreditations belong to the referee and are never recorded as yours. The letter can still evidence what you delivered for them.

How a read fact is used

A fact read from a document can be printed into a form the buyer scores or that you sign, because the document backs it. A fact you typed is a declaration and is used in the narrative parts of a bid and for matching, but not printed onto a signed form without a document behind it. Final Review names the document that would fill a blank.

Where two sources disagree — a certificate says one thing and you typed another, or two documents differ — QuickTenders does not pick one. It shows the conflict and asks you to resolve it.

When a document is replaced

A newer upload of the same document type replaces the old one and is read again. Facts that came from the old file are recalculated from the new one; a fact the new file simply does not mention is kept for one more read before it is retired, so a slightly different scan does not erase your evidence.
